Sea con carácter profesional o de forma personal, cuando organizamos un evento estamos dejando nuestra huella en todas las personas que asisten y participan, y probablemente influirán notablemente en nuestra imagen y prestigio en un entorno mucho más amplio. Sin olvidar el efecto de los comentarios que a posterior origina cualquier evento.
Desde los más sencillos e íntimos hasta los más multitudinarios y espectaculares, todo evento requiere de una cuidada preparación para que sea un éxito. Prueba de ello son los numerosos tratados que se han elaborado sobre este tema . La clave está en no dejar nada a la improvisación.
Estos son los pasos indicados PLANIFICAR un evento:
Definir metas y objetivos : Cuando iniciamos la organización de un evento es muy convenientes saber para qué lo hacemos: agradecer, festejar, aumentar nuestra notoriedad en la sociedad, posicionarnos en un sector…Las causas pueden ser variadísimas, pero es necesario que concretemos con claridad qué es lo que queremos conseguir para dirigir nuestros pasos hacia ese fin.
En el momento de definir las metas y objetivos hay que tener en cuenta el alcance que queremos que tenga el evento, la cantidad de personas que pretendemos que asistan, el presupuesto y los recursos con los que contamos.
Concretar: El segundo paso es especificar fecha y lugar, plan de acción, cómo llevarlo a cabo y las necesidades que se me plantean (físicas, de personas, de inversión y de tiempo).
Establecer calendario: Para que todo esté a punto la fecha marcada lo más seguro es diseñar un calendario de trabajo de acuerdo a las posibilidades reales.
Ejecutar y prevenir imprevistos: Una vez definidos los puntos anteriores sólo resta realizar cada una de las tareas definidas en el tiempo establecido.
Valoración: Aunque la duración de los eventos no suele exceder de unos pocos días, su repercusión puede prolongarse en el tiempo, por lo que es aconsejable realizar una valoración a corto plazo, inmediatamente después de su finalización, analizando el desarrollo de evento y la respuesta de sus asistentes; y una valoración a medio plazo para medir sus consecuencias y la consecución de nuestros objetivos.

Specify: The second step is to specify the date and venue, plan of action, how to carry it out and the necessities that need to be considered (physical, people, investment and time).
Set schedule: In order for deadlines to be reached, the safest way is to design a work schedule which contains realistic aspirations.
Execute and prevent contingencies: Once the previous points have been defined, all that remains is to realize each of the tasks within the established time.
Evaluation: Although the duration of the events does not usually exceed a few days, their impact may last longer, therefore it is advisable to realize a short-term evaluation, immediately after its ending, analysing the development of the event and the feedback of its attendants; and a mid-term evaluation to measure the impact and the realisation of our goals.
